Project Process

All requests for Marketing & Communications support will be submitted via the MarCom request form. Please do not initiate a project request via e-mail as we want to ensure that it is reviewed in a timely fashion.

Using our project management system, community members submit requests for work not already outlined in a marketing plan.

Example requests:

  • Banner design for an upcoming conference
  • Event flyers
  • Social media promotion
  • Unplanned new program launches

Note: Not all project requests can be approved. When possible/appropriate, the MarCom team will suggest or identify alternative resources.

Form submitted by client

Request enters project system as a task

Project Assistant or other MarCom team member reviews tasks and either assigns task for immediate completion, or moves to queue for review at next weekly MarCom review meeting.

Project requests reviewed at review meeting

Next steps provided to clients post-meeting. Intake meetings scheduled as needed. Project generated in Wrike for approved projects with tasks and dates.

Project scheduled

Projects built according to estimated timelines, backing up from requested completion dates and with timeline shifts to accommodate for resource availability, delays, or dependencies (ie. intake meeting needed for additional details, or content for web update)

Ongoing Project reports

Coordination with client by MarCom representative.

Project Evaluation & Resource Allocation

Project will be assessed by Marcom project team for value and required resources. Our team may not be able to approve every request.
